Through this Artisan Partnership Policy, we aim to establish a transparent and fair working relationship between Haven Crafts and our artisan partners. This policy will detail the roles, responsibilities, and terms under which Haven Crafts handles the products on behalf of the artisans.
1. Overview of the Partnership
Haven Crafts provides a platform for artisans to showcase their products to a global audience. We take care of all customer-facing activities, including sales, marketing, product presentation, order management, and customer service. In return, Haven Crafts manages the entire fulfillment process on behalf of the artisan, ensuring a seamless experience for both the artisan and the customer.
2. Artisan Registration and Product Listing
- Artisans interested in partnering with Haven Crafts must be based in Odisha and specialize in traditional crafts.
- Artisans must apply to become a partner by providing detailed information about their crafts.
- Haven Crafts will review the application and onboard artisans based on product quality and fit with our brand.
- Artisans provide Haven Crafts with high-resolution images, product descriptions, pricing, and inventory details for their products.
- Haven Crafts will list these products on the website, ensuring they align with our branding standards.Â
3. Product Handling by Artisans
- Artisans will be responsible for storing the products at their premises or any other suitable location.
- Artisans will also be responsible for packaging products according to the specifications and quality standards set by Haven Crafts .
- Haven Crafts reserves the right to review and approve product listings before they are published .
- Products must be free from defects and properly packaged to avoid any damage during transit.
- Haven Crafts reserves the right to reject products that do not meet quality standards.

4. Order Fulfillment and Shipping
- Once a customer places an order on the Haven Crafts website, the artisan will be notified via WhatsApp .
- The artisan is required to prepare and pack the product promptly after receiving the order.
- Shipping will be managed by a third-party logistics partner selected by Haven Crafts.
- The artisan is responsible for handing over the packed product to the shipping partner for delivery.
- Artisans must ensure that the product is ready for pickup as per the shipping partner’s guidelines.
- Shipping fees will be calculated based on the customer’s location.
- The cost of shipping may either be covered by the customer or included in the product price, as decided by the artisan and Haven Crafts.
- Artisans are expected to dispatch products within a specific timeframe (e.g., 2-3 days from order receipt).
- Haven Crafts will communicate expected delivery timelines to the customer.
5. Artisan Tax Responsibilities
- Artisans will provide products to Haven Crafts without charging GST. The price they offer is exclusive of tax.
- Haven Crafts will add the applicable GST to the listed product prices based on the relevant GST rate and ensure the customer pays the final price including tax.
- Haven Crafts will be responsible for collecting, remitting, and filing GST returns.
- Artisans do not need to charge GST on their products, but they must ensure they are compliant with GST laws if their annual turnover exceeds the threshold limit of ₹20 lakh (for goods).
- If an artisan’s turnover exceeds ₹20 lakh, they will need to register for GST and may be eligible to claim input tax credit for any tax paid on their purchases related to the production of goods (materials, etc.).
6. Haven Crafts’ Tax Responsibilities
- Haven Crafts will be responsible for ensuring all taxes are handled in compliance with the applicable laws. Here’s how Haven Crafts will manage tax:
- When Haven Crafts lists a product on its website, it will add the applicable GST (typically 5% to 12% depending on the product category) to the product price.
- Haven Crafts will collect the final sale price, which includes the GST component from the customer.
- Haven Crafts will remit the collected GST to the government.Â
- Haven Crafts will absorb any GST on platform fees (e.g., system usage, payment gateway charges, and marketing costs) as part of its operational expenses.
7. GST Invoicing and Compliance
- Haven Crafts will issue an invoice to the customer for every order placed, which will include the GST amount added to the original product price.
- Haven Crafts will also provide the artisan with payment details showing the amount received from the customer and the amount to be transferred to the artisan (exclusive of the GST component).
- Haven Crafts will file the GST returns on behalf of the products sold, reporting the total sales, the GST collected, and the amount of tax to be remitted to the government.
8. Payment and Remittance
- Haven Crafts will be responsible for transferring the sale proceeds (exclusive of GST) to the artisan.
- Haven Crafts will handle all GST-related filing and remittance.
- Artisans will not charge GST to Haven Crafts for products.
- Haven Crafts will not take any commission on sales made through the platform.
- Artisans will receive 100% of the sale price for their products.
- Artisans will be paid after the successful delivery of the product and customer receipt confirmation.
- Haven Crafts will absorb all system-related fees, including payment gateway transaction fees, platform fees, and marketing costs, so artisans will not incur any costs related to the functioning of the platform.
9. Returns and Refunds
- Haven Crafts will handle returns and refunds. If a customer is dissatisfied with a product due to quality issues or damage during delivery, the return process will be initiated by Haven Crafts.
- Returns will only be accepted for defective or damaged products. Personal preferences (e.g., color, size, style) will not qualify for returns.
- If a return is approved, the artisan will be notified, and the product will be sent back to them. Refunds to customers will be processed promptly by the artisan.
10. Customer Service and Communication
- Haven Crafts will be the primary point of contact for customer inquiries, including questions about products, shipping, or returns.
- While Haven Crafts handles most customer interactions, artisans may occasionally be asked to provide additional product details or answer specific questions about their craft.
- Artisans are expected to maintain timely communication with Haven Crafts regarding stock availability, product updates, or issues related to order fulfillment.
11. Termination of Partnership
- Haven Crafts reserves the right to terminate the partnership if the artisan fails to meet quality standards, deliver products on time, or communicate effectively with the platform.
- Artisans may choose to discontinue the partnership by providing written notice. Haven Crafts will ensure that all pending orders are fulfilled before the partnership ends.
12. Legal and Compliance
- Artisans retain ownership of their designs and products. However, by listing their products on the Haven Crafts platform, artisans grant Haven Crafts a license to use their product images and descriptions for promotional purposes.
